Under general supervision, the Assistant Recreation Program Coordinator performs a variety of duties including special events, cultural activities involved in planning and implementing community arts programs.
Note: This position will primarily focus on supporting the Lancaster Museum of Art and History, MOAH: CEDAR, and Western Hotel Museum’s exhibitions by overseeing art handling, exhibition installation and deinstallation and other logistics related needs.
The Assistant Recreation Program Coordinator position is contingent upon the availability of grant funding.
- Assist in coordinating, promoting, implementing, and evaluating arts activities.
- Assist in the planning and implementation of revenue-producing City wide special events.
- Organize and participate in a variety of art programs, special events, and other recreational activities as assigned; assist in scheduling staff; and directing, instructing and leading a variety of activities.
- Responsible for the set up and tear down of special events.
- Receive messages and relay/escalate as appropriate.
- Prepare proper correspondence, maintain files, and related records.
- Maintain various records regarding programs and participants, plus administrative duties; maintain periodic and/or selected reports.
- Assist with preparing events publicity, including flyers and news releases and its dissemination.
- Perform a variety of office related functions, including registration fees and activity reports.
- Perform shipping and handling duties as needed.
- Perform mail room duties including opening and routing incoming mail, distribution to locations, and maintenance of postage records.
- Support and arrange for and schedule facilities, and transportation.
- Respond to inquiries from City staff and the general public in person, and via telephone and email correspondence.
- Oversee the work of the Arts Leaders I, II and III and Senior Arts Leader and delegate responsibilities.
- Assist in the selection and training of employees. Training of employees is achieved by reinforcing successful performance and providing coaching as needed.
- Build and maintain positive and effective working relationships with City employees, contract workers, public groups, agencies, school officials and media in the course of work using principles of good customer service.
- Perform related duties as required.
- Bachelors’ degree from an accredited college or university in Recreation, Public or Business Administration or closely related field; OR equivalent years of work experience (1 year) in the field; OR any equivalent combination of education and work experience.
- One (1) year of art handling related experience, including six (6) months of responsible public contact work with some direct interaction with program/event participants.
- Proven knowledge of modern museum principles, practices, and philosophies for assisting in a wide variety of programs, special events, and other activities.
- Knowledge of basic cultural program purpose and methods of delivery.
- Ability to select, train, supervise and evaluate part-time employees and volunteers.
- Ability to organize and coordinate a variety of duties related to assigned program or event.
- Ability to assist in organizing and implementing arts activities.
- Ability to perform clerical related functions; observe safety principles and work in a safe manner.
- Ability to work independently under pressure; proactive thinker/self-starter; ability to identify methods to maximize service effectiveness and efficiency.
- Ability to work independently in the absence of supervision; ability to work in a team environment; ability to establish and maintain effective working relationships; ability to work with all levels of employees and management, and willingness to give assistance to co-workers.
- Ability to interpret and carry out a variety of instructions furnished in written, oral, diagram, or schedule form; possess excellent interpersonal communication skills both verbal and written; ability to communicate clearly and concisely.

- Intermediate to advanced skill in Microsoft Word, Excel, Access, Outlook and PowerPoint; proficiency in common office equipment, i.e. printer, scanner, copier and fax machine.
- Knowledge of research techniques and practices and office procedures; filing, proofing, and use of software programs, and various duplicating machines and related equipment.
- Ability to work extended hours including evenings, weekends and holidays.
Working Conditions/Physical Requirements:
- Work is performed primarily in a standard office environment and at indoor and outdoor recreational facilities; travel to different locations; incumbents may be exposed to inclement weather conditions; work and/or walk on various types of surfaces including slippery or uneven surfaces; incumbents may be required to work extended hours including evenings and weekends.
- Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.
